Overview

We are looking for an Administrative Assistant to start working with us ASAP. Refer to the following information for job duties, description and benefits:

Job Position: Administrative Assistant
Job Type: Full time – permanent (30-35 hours/week)
Job Location: Calgary, AB
Language required: Suitable candidate should be able to read, write and speak English
Education requirement: Completion of Secondary (high) school graduation certificate

Experience requirement: Relevant work experience of minimum 1 month to less than 7 months
Wages: $29/Hour

Computer and Technology Knowledge: Microsoft Office

Job duties and responsibilities:
– Type and prepare client correspondence & letters, prepare invoices, draft agreements, and daily office reports
– Assist office administrator with drafting of client communication and other documents, as required
– Receive and open mails received in office, also check general e-mail of the office and ensure all important communication is duly forwarded to appropriate staff members
– Schedule and confirm client’s appointments
– Ensure that office supplies are available in office and order supplies when required
– Answer phone calls, screen callers and route calls to appropriate persons in office and reply to general e-mails
– Handle office tasks like filing of documents, preparing daily office reports, setting up any client meetings.
– Make travel arrangements for director or other staff members, when required
– Maintain polite and professional communication with clients via phone & e-mails, as required
– Ensure that client files are opened in computer system and appropriate client data is entered
– Keep track of and follow up on client referrals, any outstanding enquiries by clients or potential clients and communicate with them in a professional manner
– Perform any other relevant tasks and duties as and when required
