Job Title: Administrative Assistant
Wage: $29.00 Hourly
Job Type: Permanent & Full-Time (30 – 40 Hours per week)
Language at Work: English

No work experience is required. We will consider job applicants who have no experience.

Start date of employment: As soon as possible

Minimum Education: Successful completion of Secondary (high) school graduation or certificate or equivalent experience

Job Description:

– Greet clients who visit our office in a welcoming manner
– Check and copy identification of any new clients visiting office
– Type and prepare client correspondence & letters, prepare invoices, draft retainer agreements, and daily office reports
– Assist immigration consultant with drafting of client communication letters, submission letters for applications and with other documents, as required
– Receive and open mails received in office, also check general e-mail of the office and ensure all important communication is duly forwarded to appropriate staff members
– Schedule and confirm client’s appointments with immigration consultant
– Ensure that office supplies are available in office and order supplies when required
– Answer phone calls, screen callers and route calls to appropriate persons in office and reply to general e-mails
– Handle office tasks like filing of documents, preparing daily office reports, setting up any client meetings either in-person or online via zoom, google meet or via other appropriate platform
– Make travel arrangements for immigration consultant or other staff members, when required
– Maintain polite and professional communication with clients via phone & e-mails, as required
– Attend meetings along with immigration consultant and record & prepare minute of meetings
– Ensure that client files are opened in CRM computer system and appropriate client data is entered
– Keep track of and follow up on client referrals, any outstanding enquiries by clients or potential clients and communicate with them in a professional manner
– Perform any other relevant tasks and duties as and when required
