Job Duties:

1.     All direction will come from the Director of Property Managers, Lead Admin, and back-up Lead (in that order). If you have any questions or need direction please ask your Lead Admin and if not available, back-up Lead or the Director of Property Management for assistance.

2.     Using Alberta Government’s Spatial Information System (commonly called Spin2) for either:

  • registering or downloading condo related documents (caveats, discharge caveats, change board of directors, Titles, Condo Plans etc).
  • preparing Caveats, Discharges, Change of Directors and Change of Address and registering those with Spin2

3.     Uploading and managing documents on the Condo Control Central – our internal software for managing accounts. Duties will include

  • Each quarter, downloading a detailed report of all service requests and tasks from Condo Control Central and filing into the Property’s Filing System.
  • Entering of all Consent Forms into Yardi and Condo Control Central then scan and file the forms..

4.     Intercom Programming (process varies from property to property). Taking the calls and doing the programing or advising the proper person(s) pending on the property.

5.     Programming Fobs (process varies from property to property). Taking the calls and doing the programing or advising the proper person(s) pending on the property.

6.     Writing professional formatted letters such as bylaw infractions, chargebacks and creating notices using word.

7.     Preparing AGM Packages, Sign-in Sheet and Proxies should be scanned and filed into the Property Filing System.

8.     Completing the inventory form for filing boxes going into storage and making label for the box.

9.     Follow all Policies and Procedures that Simco Management has in place and paying attention to Detail to ensure less errors.

10. Any other general administrative duties that may be assigned by Management.

Essential Skills

Please read this carefully, this position requires experience working in the real estate sector. Please ensure your resume or cover letter clearly shows how you have experience with the following:

1.     Either

  • 3+ years of general administrative experience or
  • 1+ years of experience working in an administrative setting at either a law firm practicing in real estate law, real estate management corporation, hotels chain, or other similar industry

2.     At least 1+ year of experience registering, searching and downloading documents with the Alberta Government’s Spatial Information System (commonly called Spin2) or similar systems in other Canadian provinces and territories.

  • Including but not limited to land titles, transfer of land, mortgages, condo documents. Within your Resume or Cover Letter please provide specific examples how you’ve used Spin2 to pull land titles, register transfers of land, Condominium Plan Sheets, etc.
  • We will also accept completion of a training course tailored to the Alberta Government’s Spin2 system (please provide details of the course)

3.     1+ year of experience working with land title documents. With the ability to identify critical items on a land title including owners, registration date, municipality, and estate type (fee simple, life estate, leasehold or sub-lease)

4.     1+ of direct or indirect experience with the land title office’s registering caveats, discharges, change of directors and change of address, including familiarity with the specific forms.

5.     1+ years of experience with Condo Control or a similar computerized property management software system

6.     1+ years worth of experience with software commonly used by Spin2 System including WinZip (or other Zip based compression software), Adobe Acrobat, and Windows

7.     1+ years of experience programming keys, fobs, and garage remotes. We will also accept similar experience registering SIM Cards, security tags etc.

8. English language proficiency: ability to communicate in English at a Canadian Language Benchmark of 9+ in Speaking and Writing.

9. Bachelor’s degree or two year college diploma or higher

Additional Skills

1.     1+ year writing professional letters and emails

2.     1+ years maintaining financial records including arrears logs

3.     1+ years experience maintain minutes of board room meetings

4.     1+ years experience with Outlook, Word and Excel
