Wage: $34.50 per hour

Hours: 35-40 hours per week

Proactive Health Care Team and Walk-in Clinic is seeking a dedicated and detail-oriented Medical Office Assistant to join our team. The ideal candidate will have strong administrative skills, experience with Electronic Medical Records (EMR) software, and the ability to work in a fast-paced medical environment while ensuring excellent patient care.

Responsibilities: Administrative Support & Front Desk Management

• Greet and assist patients in person and over the phone in a professional and friendly manner.
• Schedule and confirm patient appointments using Electronic Medical Records (EMR) software (e.g., OSCAR, Accuro, Telus Health).
• Maintain accurate and up-to-date patient records and medical files.
• Manage incoming and outgoing correspondence, including emails and faxes.

Medical Records & Billing

• Process OHIP and private insurance billing and submit claims accurately.
• Ensure patient confidentiality and compliance with PHIPA and HIPAA regulations.
• Assist with the completion of medical forms, reports, and physician correspondence.

Clinical & Office Support

• Assist physicians and nurses with patient intake, including recording medical history and vital signs.
• Maintain inventory of medical and office supplies, ensuring adequate stock levels.
• Follow infection prevention and control protocols to maintain a safe clinical environment.

Communication & Patient Coordination

• Coordinate referrals to specialists and other healthcare providers.
• Provide patients with instructions regarding medical procedures and follow-up care.
• Liaise with pharmacies, laboratories, and other medical professionals regarding patient prescriptions and test results.

Requirements: Education:

• Completion of secondary school (high school diploma) is required.

• A post-secondary diploma or certificate in Medical Office Administration, Medical Reception, or Health Office Administration is preferred.

Experience:

• Minimum of 6 months to 1 year of experience in a medical office or healthcare setting preferred.
• Experience with EMR software (OSCAR, Accuro, Telus Health) is an advantage.
• Knowledge of OHIP billing, insurance processing, and medical terminology is an advantage.

Skills:

• Strong organizational and multitasking abilities in a fast-paced healthcare setting.
• Proficiency in Microsoft Office (Word, Excel, Outlook) and data entry.
• Excellent communication and customer service skills to interact with patients and healthcare professionals.
• Ability to maintain confidentiality and follow privacy regulations (PHIPA, HIPAA).
