Position Title: Office Administrative Assistant (NOC 13110)

Overview: We are looking for an Office Administrative Assistant who is a team player with great organizational skills, takes initiative and is motivated learn about real estate. Job requires flexibility to work evenings and weekends.

Duties and Responsibilities:

Prepare, key in, complete the paperwork of sales representatives engaged in real estate transaction process.
Open and distribute incoming regular and electronic mail and coordinate the flow of information internally with the leader and real estate sales rep as needed.
Schedule open house and confirm appointments for sales representatives on their behalf.
Maintain transaction inventory
Answer telephone and electronic enquiries and distribute telephone calls and messages to sales representatives for further follow-up.
Set up and maintain manual and computerized information filing systems
Determine and establish office procedures
Greet visitors, ascertain nature of business and direct visitors to team leader or sales representatives for follow-up
Record and prepare minutes of team meetings
Arrange travel schedules, company events, and make reservations
Compile market data for various regions in Ontario.
May supervise and train sales representatives in company policy and procedures
May organize conferences and events.
Qualifications and Experience:

Minimum 2 years experience as an administrative assistant in Real Estate, Construction, or related industry

Education

College diploma in Commerce or Administration
Wages: $26.00 per hour; 30-hour work week; overtime rate of $39.00 per hour after 44 hours per week
Benefits: 10 days annual vacation

Duration: Permanent, full time, year-round position
