We are looking for a highly motivated and organized Medical Administrative Assistant to join our team. The ideal candidate will assist in the daily operations of our clinic, support patient care, and ensure a smooth and efficient experience for our patients and staff.

Job Position: Clinic Assistant

Working Location: 2425 Oak St, #220, Vancouver, BC, V6H 3S7

Salary: $27.50-29.00 per hour

Working Hours: 40 hours per week

Job Type: Permanent, Full-time

Key Responsibilities

·       Book, confirm, and manage appointments.

·       Assist new patients with paperwork, such as completing forms and documents, and interview them for case histories and other key information.

·       Take new patients records, including taking digital impressions using the iTero Scan, intra and extra-oral clinical photos, setting up X-ray machines and positioning patients for x-rays.

·       Deliver Start and Oral Hygiene instructions for new patients.

·       Greet and welcome clients and ensure providing high-quality customer service.

·       Process insurance claims in compliance with requirements.

·       Prepare billings, maintain financial records, and assist clients in completing transactions.

·       Open, maintain, and manage client’s files and records.

·       Compile and format reports, and draft, edit, and proofread correspondence to patients.

·       Establish or improve office procedures and administrative routines.

·       Order supplies and maintain inventory.

·       Train other staff in procedures and in use of software.

 

Requirements

·       At least a high school diploma. Higher education credential is preferred.

·       At least one year of working experience in an administrative role within a healthcare or dental setting.

·       Proficient in using office management software, with the ability to quickly learn new systems.

·       Strong organizational and time-management skills, with the ability to prioritize tasks effectively.

·       Excellent communication and customer service skills, with a commitment to providing a friendly and professional experience for patients and colleagues.

·       Detail-oriented with a proactive approach to problem-solving and improving office efficiency.
